EIGE launches this call for tender with the objective to conclude a single framework service contract (FWC) for the provision of professional event organisation services for EIGE (such as experts consultations/meetings/workshops, management board meetings, experts’ forum meetings, meetings with journalists, conferences, country visits to the EU Member states, team-building events, etc.). In relation to the events, the contractor will be asked to provide a broad range of activities including overall event management, reporting and using various communication channels and tools to target various audiences.

Event organisation entails providing support to EIGE with regard to conference related services such as meeting rooms, virtual meeting platforms and tools, accommodation, catering services, travel arrangements, technical support, reception facilities, technical equipment, production (according to EIGE’s visual identity) of meeting materials including video presentations and pre-recorded statements, documents and promotional materials (for specific events), registration handling, on-line platform, web-streaming and potentially interpretation services.

Venues for EIGE events vary depending on the objective and main stakeholders for the event. The majority of physical events take place on EIGE’s premises in Vilnius. However, the contractor may be requested to make arrangements in Brussels or at locations in EU Member States, in EU candidate or potential candidate countries (IPA countries) or elsewhere. Virtual and hybrid events participants may join remotely via teleconferencing means from any location in Europe.
