This is a request for information concerning Travel management partner.

This document is not a prior information notice, a procurement notice, a contract notice or an invitation to tender. The purpose of the publication of this request for information is not to start a tendering process. This is a request for information submitted as part of a preliminary study and a market survey.

Aalto University is seeking a travel management company to support Aalto’s new travel processes and ticket fulfilment. Selected partner must know KDS Neo and be able to deliver the travel tickets and services on the top of this tool. With this RFI our aim is to find and identify potential partners.

II.2.4)Description of the procurement:

Aalto University has a new end to end travel and expense management tool. Aalto has a direct agreement with technology partner and tool is managed by Aalto. Aalto is using KDS Neo for online bookings and expense management.

Aalto is now seeking a travel management company partner to support Aalto’s new travel processes and ticket fulfilment. Selected partner must know KDS Neo and be able to deliver the travel tickets and services on the top of this tool.

Main focus is to have a digital and end user friendly services and processes. Online adoption rate is already very high. Aalto is looking for new ideas to arrange travel services and support functions. Traditional services like offline bookings, fulfilment, safety and reporting is needed, but future orientation is more important. We appreciate development skills and attitude, agility and flexible way of working.

This request for information does not oblige Aalto University to carry out a tendering process. Any decisions about the procurement, manner of procurement, timetable and the content of the invitation to tender will be made after the examination.

Companies interested in the matter are requested to send a short description of their travel management service and how it meets Aalto's requirements (especially the new end-to-end travel management tool) and a short description of the company.

The answers must be submitted no later than on April 15 at 12.00 (EET) by e-mail. The message should be marked as ‘Answer: Travel management partner’ and sent to: [email protected] and [email protected]

The questions and answers may be submitted in Finnish or English. E-mail messages must not contain more than 10 attachment files per message. The message size, including attachment files, must not exceed 10 MB.
