1. The United Nations Procurement Division, Regional Procurement Office (UNPD/RPO), hereby invites qualified vendors to submit their Expression of Interest (EOI) to participate in an upcoming solicitation for the Provision of Refreshment Services using a mobile food trailer to UN staff/personnel and official visitors at the United Nations Entebbe Support Base (UNESB), Uganda on a long-term basis 2. The UNPD/RPO on behalf of the United Nations Organization Stabilization Mission in the Democratic Republic of the Congo (MONUSCO), seeks to engage professional/qualified, competent, licensed and accredited service provider(s) capable of providing these Refreshment Services (catering Services) with the capacity to set up, maintain, manage and operate its own mobile food unit (food trailer) at the Entebbe, Uganda offices while serving UN staff/personnel and official visitors situated within MONUSCO/United Nations Entebbe Support Base (UNESB), Uganda. MONUSCO/UNESB is located right next to the Entebbe Old Airport area, Uganda. 3. The food trailer will be installed at an agreed to location within the MONUSCO/UNESB premises. It shall be specifically designed for refreshment operations and comply with the applicable health and safety regulations. The deployment of any food trailer(s) is subject to inspection and approval by UNESB Management. 4. This requirement will include refreshment services provision, but not limited to: purchasing raw materials, preparation, sale and serving different light healthy food and drinks, including freshly made coffee and tea, juices, other drinks (i.e. beverages) and smoothies, snacks, sandwiches and other refreshments to the clients. All drinks and food served shall always conform to international standards governing food quality, preparation, hygiene and service taking into consideration the cultural ethnic diversity of the UN personnel and their Official visitors. 5. The variety of proposed refreshments will be given high importance and the vendor(s) are expected to continuously innovate and expand on the available refreshment to attract a diverse clientele working and/or passing through the UNESB for trainings, conferences etc. The Contractor shall provide environmentally friendly and bio-degradable packaging, which enhances the presentation of the meals, drinks and other items on sale. 6. The proposed term of Contract(s) shall be for an initial one (01) year period with an option to extend for an additional one (1) year successive period (1+1) at the sole discretion of the UN, to extend under the same terms and conditions and at the same prices as agreed by the UN and the successful vendor(s) subject to continuation of UN mandates as determined by the UN General Assembly and the Security Council of the United Nations and the satisfactory performance of the vendor(s). 7. The estimated number of potential clients are approximately 450 International Staff (Including UNVs and ICs), 960 National Staff, 20 Civilian Police, 15 Military Observers and Staff Officers and 40 to 50 transiting personnel daily. Please note that UN does not guarantee these numbers but estimates are provided for planning purposes. 8. The vendor will be expected to provide these refreshment services during UN working days Monday to Friday from 07:30 until 18:00 hours. Please note that these days/times may be subject to change. 9. Qualifying and companies interested in providing these services are invited to submit their valid information along with the following: 9.1 Detailed company profile; 9.2 Confirmation of availability of the food trailer; 9.3 Clear photos of the proposed food trailer exterior and interior. These photos must show the selected food trailer type/model and provide specifications regarding the appliances therein (i.e. fridge, microwave, etc.), chilled displays, electrical and water connections and other relevant data and photographs for MONUSCO/UNESB’s review; 9.4 Interested vendors are requested to detail their supply chain to guarantee UN of its consistent refreshment service provision if invited to participate in the tender when issued; 9.5 Any additional photos/brochure/catalogue or a short video clip showing the food trailer; 9.6 Company’s address, contact person, active telephone numbers as well as functional e-mail contacts; 9.7 Company’s registration ID number (if already registered with UN) and UNGM registration number (www.ungm.org); and 9.8 Written confirmation of the company’s capability to provide these services to the UN. 10. Please note, this is not an invitation for submission of proposals. Its purpose is to understand the market and to identify companies that would be interested to participate in the solicitation when issued. 11. A detailed Scope of Work (SOW) with the technical requirement, staff estimates required, etc. will be provided within the UN's tender document which will be sent out to all qualified companies/vendors shortlisted for receipt of official UNPD/RPO solicitation. 12. The UNPD/RPO will examine the outcome of this request for EOI and will consider qualified companies/vendors including that have expressed their interest providing the required information as to their ability to fulfill UN’s requirement. No further details can be made available prior to the issuance of the tender as this stage is only to identify interested and qualifying vendors for this requirement. 13. The UNPD/RPO reserves the right to change or cancel the requirements at any time during the EOI and/or solicitation process. Thus, submitting a reply to this EOI does not automatically guarantee that your company will be considered for receipt of the solicitation when issued or award thereafter. The tender and any subsequent commitment to contract will be issued in accordance with UN rules and regulations. 14. Interested vendors must complete and submit page 4 (i.e. Vendor Response Form) of this EOI document indicating the EOI Number in the subject. At this stage, please do not submit any additonal information and no questions will be answered.
